Founded in 1876 by philosopher and educator Dr. Felix Adler, The New York Society for Ethical Culture is a non-theistic, Humanist community dedicated to ethical relationships, social justice, and democracy. As the founding institution of the Ethical Movement and a cornerstone of Progressivism in New York City, the Society’s members put deed before creed and ethics in action to educate, advocate, and organize to end racism, poverty, and war; abolish the death penalty and mass incarceration; guarantee reproductive freedom; welcome refugees and immigrants; fight climate change and pollution; and more.

Our historic Meeting House on Central Park West includes 800-seat Adler Hall, known for its spectacular acoustics, Ceremonial Hall, overlooking Central Park West, Social Hall, two libraries, and several smaller offices. We are looking for a seasoned Rental Manager to oversee rentals of this much sought after space.

POSITION SUMMARY

The Rental Manager is responsible for overseeing short term facility rentals at the New York Society for Ethical Culture. He or she assists renters through all stages of the rental process and provides support to the Facilities Manager and Communications Coordinator in all matters related to the rental program. The Rental Manager is also responsible for helping to develop and implement a marketing program for the Society’s rental space. This position requires flexible hours including evening hours and on occasion weekends. The position reports to the Executive Director.

RESPONSIBILITIES

Sales

  • Field a high volume of inbound sales requests for space rental.
  • Conduct site visits with potential clients and provide all necessary information regarding the Society’s rental spaces and rental policies, including fees for extra services.
  • Develop and implement an aggressive marketing strategy designed to identify and reach out to new clients.
  • Gather contract information and share with Office manager for preparation of the rental contract.

Scheduling

  • Maintain an in-depth knowledge of the Society’s events calendar, room capacities, audio-visual technical capabilities, and rental fees and policies.
  • Coordinate the calendar for the rental venues with the Office Manager, maintaining a firm understanding of availability.
  • Work with other staff and committees as needed to share information regarding rental activity and the availability of space.

Client Servicing

  • Serve as the primary contact for the rental client throughout the rental cycle.
  • Oversee the entire rental process for short term rentals.
    • Ensure that all rentals have a signed contract and payment is received before event.
    • Confirm that there is a setup sheet and set up sheet is shared with Facilities Manager.
    • Where refreshments are to be served, coordinate their acquisition and presentation.
    • Supervise execution of the setup sheet (e.g., room layout, audio-visual equipment, food).
    • Greet the meeting host, walk through space, and serve as event liaison as needed.
    • Assure proper number of guards, ushers, and house managers for each event.
    • Conduct post event debriefing sessions with the client and relevant staff members in order to obtain feedback on the event.
    • Oversee invoicing, collection of payments, and management of security deposits in order to properly close out each rental.
  • Communicate rental information to appropriate in-house personnel, including the Facilities Manager, Office Manager and house staff.
  • As requested, assist the Facilities Manager with event staffing issues.

Office Responsibilities

  • Gather detailed information and statistics regarding the rental program and provide a monthly summary of rental activity and experiences to the Executive Director and the Rental Committee.
  • Log all rental activity and client information into a data base.
  • Track all rental email correspondence and paperwork going into and out of the office.
  • Develop strategic sales plans and track and report on goals.
  • In coordination with the Executive Director, set yearly rental budget including sales forecasts.
  • Participate in Staff and Rental Committee meetings.
  • Other duties as assigned.

QUALIFICATIONS

  • 3+ years rental management experience in similar role
  • Event planning and management experience
  • Demonstrated ability to manage multiple requests and tasks with a high degree of accuracy
  • Experience with CRM/Event Management software
  • Nonprofit mission aligned work experience a plus
  • Excellent writing and communication skills

COMPENSATION AND BENEFITS

$55,000 – $65,000 + commission based on experience
