AFS-USA is part of a worldwide network of AFS partner organizations that work together to advance global education and foster meaningful connections across cultures. As the network’s largest partner, AFS-USA works to increase the global competency of U.S. citizens by providing a variety of international and intercultural learning experiences to individuals, families, schools, and communities. We are proud of our Staff from our national office in New York City as well as home offices across the county, who collaborate with our more than 2,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include immersion-based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educators, schools and businesses.

AFS-USA works with the Youth Programs Division of the Bureau of Educational and Cultural Affairs of the Department of State to implement several fully funded scholarship programs, including the Congress-Bundestag (CBYX) Program, a US-German government initiative; and the Youth Exchange and Study Program (YES and YES Abroad), a public diplomacy initiative authorized by Congress in the aftermath of September 11, which builds bridges of international understanding between Americans and people in approximately 40 countries with significant Muslim populations; and the National Security Language Initiative for Youth (NSLI-Y) a language intensive program designed to build a core of US citizens knowledgeable in the languages and cultures of lesser taught languages.

The Sponsored Programs Logistics Coordinator – Grants focuses on a portfolio of grant-funded programs overseeing accurate financial reporting and procedural compliance on all governmental grants. The position is also responsible for the overseeing planning and logistics of several key events required by the grants. This position reports to the Director of Sponsored Programs and works closely with the Finance, Human Resources and Marketing departments to ensure the highest quality of grant administration.

DUTIES/RESONSIBILITIES:

Ensure accurate, timely, efficient and transparent process for tracking across grants expenditures, reimbursements and invoices for payment.
Develop and execute biannual and final reporting calendar, gather relevant student-related expenditures for all grants.
Prepare grant-related stipends and other participant-related expenses as well as volunteer and cost-share tracking.
Provide finance-related customer service to field volunteers and host families.
Maintain all grant agreements, amendments, and vendor contracts.
Responsible for logistical oversight and support for all grant-related events and contracts including orientations, volunteer trainings and U.S.-based alumni activities.
Oversee seasonal logistics staff hired to assist with implementation of events.
Other duties as assigned.

QUALIFICATIONS AND SKILLS:

2+ years experience in Event planning, Book Keeping or Customer service
Bachelor’s degree in Logistics or International Relations is an advantage
Experience with federal grant administration is an advantage
Strong problem-solving, account analysis, and organizational skills
Fluent verbal and written English is a must
Strong Microsoft Office skills
Strong organizational skills
Ability to work independently and successfully prioritize and manage multiple tasks
Ability to work well under pressure
Experience/high level of comfort in an intercultural setting

WORK EXPECTATIONS:

AFS USA work hours are generally from 9:00 am – 5:00 pm, Monday through Friday EST; however, given the nature of this position and the necessity to work closely with volunteers, evening and weekend work will be required as well as domestic travel (25% of the time).

SALARY:

$ 53,000.00/annually plus benefits including: medical, dental, vision, and PTO
