The American Society for Yad Vashem (ASYV) supports the crucial efforts of Yad Vashem, the World Holocaust Remembrance Center in Jerusalem.  ASYV trains educators and professionals to promulgate the educational curriculum of Yad Vashem in the classroom and beyond, promotes Holocaust education and awareness by partnering with public schools and developing educational opportunities within and beyond the Jewish community. With the support of donors, ASYV is able to strengthen the efforts of Yad Vashem to work tirelessly to pass the torch of Holocaust remembrance to communities around the country and around the world. 

Position Summary:

ASYV seeks an experienced Database Administrator to manage and maintain all donor and donation related information in the organization’s donor database (Donor Perfect) and marketing CRM (HubSpot) to ensure the accuracy and integrity of the data for reporting and compliance purposes. They will serve as the point person for cross-departmental data projects and events, generate donor/donation reports and acknowledgement letters and manage mailing lists across multiple platforms. In coordination with the Finance team, the Administrator will be responsible for gift coding and processing and assist with gift reconciliation. Reporting to the National Campaign Director.

 Key Responsibilities:

  • Manage daily operations of Donor Perfect including maintaining data integrity and accuracy, mailing and donor lists, event attendance, pledges, gift records, merging duplicate records, systems upgrading, generate reports, and constituent outreach and exports;
  • In coordination with supervisor and CFO, establish gift codes and descriptions for tracking solicitations, appeals and campaigns; 
  • Conduct donor and campaign analysis and provide regular and custom reports to all teams;
  • Provide expertise, training and technical support to end-users on database and software-related issues; identify, research, and resolve technical problems, work with outside vendors/technical support as needed, and document, track and monitor problems to ensure timely resolution;
  • Install and test new versions of all systems and participate in developing detailed logic, testing, debugging, documenting, validating, evaluating and fielding of automated applications that meet the needs of management, employees and users;
  • Respond effectively to report requests, communicating needs, timeframes, scope and limitations of projects;
  • Generate direct mail gift reports and work with third-party vendor updating donor records;    
  • Process checks and credit card gifts on a daily basis and coordinate reconciliation process with finance team;
  • Prepare documentation and support for annual audit process;
  • Ensure that all gift coding, data entry is accurate to include merging of duplicate records, creating soft credits and conducting research on donors/foundations/companies;
  • Prepare all gift acknowledgement letters and other related donor gift correspondence; and
  • In coordination with Marketing team, ensure donor information in CRM is current.

     Qualifications/Skills/Attributes:

  • A minimum of 3-5 years’ experience of progressive job responsibilities in database systems management, development, and/or donor gift processing;
  • Excellent Excel skills and proficiency in MS Office Suite required;
  • Ability to gather, analyze, interpret, and summarize complex information into a coherent and accurate presentation;
  • Commitment to quality work, relentless and keen attention to detail, strong organizational and time management skills; the ability to meet daily deadlines and balance competing priorities in a complex environment requiring significant collaboration;
  • Ability to deal with confidential information discreetly, ethically and prudently;
  • Excellent communication skills to prepare and review correspondence, memoranda, reports with ability to communicate technical concepts to present information efficiently;
  • A strong and demonstrated commitment to providing excellent customer service and quality improvement is essential;
  • Ability to communicate and interact effectively and diplomatically with others, both orally and in writing, to obtain and furnish information, respond to inquiries and resolve problems; and
  • Bachelor’s degree required.

 Compensation & Benefits

Annual salary $60,000-65,000, dependent on years of experience.
