Overview

AAANY is seeking an energetic, diligent, self-motivated and team player to join its team as an  Operations and Development Associate. The  Operations and Development Associate will play a hands-on role in the association’s daily operations and administration, working in close cooperation with all the staff members, especially with the Executive Director, HR Director, Finance and Operations Manager, and Development team to carry out the operational and administrative functions of the association’s activities to ensure effectiveness and efficiency. Additionally, this position is responsible for the creation and implementation of events operational plans. 

Responsibilities: 

  1. Operations
  • Manage the day-to-day operational and logistical work of AAANY, ensuring the team is fully equipped with internet, printers, supplies, office hygiene products, etc.
  • Manage meeting spaces, schedule usage of space, assist with weekly staff meeting logistics, and materials, maintain meeting records, and provide other administrative support.
  • Manage, as appropriate, special projects related to organizational development, including operations, IT, and cyber security/risk management and prepare manuals to support the planning and execution of such projects.
  • Manage the Executive Director’s calendar, scheduling and preparing meetings and site visits.
  • Maintain physical receipts and invoices, as well as scanning and uploading them to the shared drive, opening the mailbox, scanning checks, and depositing them.
  1. Special and Fundraising Events
  • Work closely with leadership team to manage AAANY events including drafting fundraising and program materials, conducting outreach with community members, donors, and other stakeholders, securing permits and insurance, and other tasks as needed
  • Provide logistical support for fundraising events, special events and site visits including preparing materials, coordinating schedules, reaching out to donors etc.
  • Coordinate emergency funds, social and community events/drives. 
  1. Development
  • Assist in preparing donor correspondence including letters, reports and relevant updates.
  • Work on discretionary applications, prepare grants documentations including workscopes, quarterly reports, and end of project reports. 
  • Identify grant funding opportunities, draft grants proposals and support the Director of Capacity Building and Development to compile annual reports.  
  • Maintain the accuracy of the database by ensuring that all information is kept current and up to date.
