Overview

Reporting to the Director of Development, the Membership & Alumni Associate is responsible for developing and growing the League’s historic membership base. You will develop strategies to ensure an engaged membership program via communication, member benefits and events, and increase renewals, reinstatements, and new members. This position will interface with donors, prospective donors, and members of the League community. You will support the Development team to develop a culture of philanthropy within the membership base, particularly legacy giving.

The position is also responsible for supporting all aspects of the department’s efforts through management of the Raiser’s Edge database, ensuring that all constituent information is kept up to date, and prepare and send acknowledgment communications for all donations. The Associate will help establish new systems and procedures for constituent management using Raiser’s Edge within the development department and across the organization, including reconciliation with the finance department.

Essential Responsibilities and Duties:

Membership

  • Develop and implement strategies to increase membership retention and attract new members, with the goal of increasing engagement, annual giving and legacy giving from this important constituency.
  • Track membership renewals; joins; rejoins and revenue.
  • Communicate with students and prospective new members to help them through the application process.
  • Work closely with the Board of Control to update membership policies and practices in response to member needs.
  • Improve Member communications: member meeting notifications, renewal notices, communication to Life Members, thank you letters; etc.
  • Produce quarterly members email newsletter.
  • Produce membership overview documents and promotional materials for distribution to potential, new, and existing members.
  • Spearhead the annual renewal campaign.
  • Improve and cultivate Life Member engagement.
  • Plan and execute member engagement events and quarterly Members Meetings.
  • Develop additional member benefits.

Database and Financial Reporting

  • Manage Raiser’s Edge donor database, including gift entry, reporting, queries, and data cleanup projects with the goal of providing current, consistent, and accurate data.
  • In collaboration with the Finance department, create and implement up-to-date standard operating procedures for gift processing and reporting to ensure all entries conform to these procedures.
  • Reconcile revenue with the Finance department and prepare periodic reporting for League administration, the Board of Control, and the Development Committee.
  • Submit checks to Finance, process credit card payments, and generate gift acknowledgments.
  • Assist with the preparation of correspondence, solicitations, proposals, briefings and meeting materials, as well as special mailings, including mail merges.
  • Maintain paper and digital department files and handle other administrative duties including photocopying, scanning and answering phones, as needed.
  • Provide occasional writing/editing, proof reading, and other duties as assigned.

Scholarships and Grants

  • Manage solicitation and cultivation for donors of named scholarship funds, including annual renewals where needed.
  • Liaise with the Finance department to track restricted funds and ensure that balances and spend are properly coded.
  • Manage the League’s annual dispersal merit competition including communication with judges, outreach to students and potential students about application process, and communication with winning students.
  • Communicate with donors to connect with students under their named scholarship funds.
  • Oversee the League’s Directors Scholarship (need-based rolling scholarship funds).
  • Communicate with scholarship students to utilize their scholarships.

REQUIREMENTS

  • Bachelor’s degree and at least 2 years of Alumni Engagement experience in a Development/Fundraising department or related experience in an academic, non-profit and/or arts environment.
  • Prior experience with Raiser’s Edge a MUST; experience with Excel, Word, PowerPoint.
  • Experience with database input and management.
  • Excellent written and verbal communication skills.
  • A highly organized individual who is efficient and detail oriented.
  • Discretion with confidential and sensitive information.
  • Possesses good judgment, a positive outlook, and an ability to cultivate relationships both internally and externally.
  • A self-starter comfortable managing multiple tasks and projects simultaneously in a fast-paced environment.
