Overview

The Bard College Trustee Leader Scholar program (TLS) seeks a motivated candidate for the position of Administrative Coordinator. The TLS program is the formal civic engagement and leadership development program for undergraduate students at Bard College and aligns with the outreach efforts of the Bard Center for Civic Engagement. TLS supports the liberal arts mission of enlightened citizenship: personal development in the context of community building.

The Administrative Coordinator plays a key role in the administrative oversight of TLS programming, with a primary focus on supporting the Dean for Social Action & Director of the TLS program. Of equal importance, the Administrative Coordinator works with as many as 50 TLS Leaders and their volunteers in preparing for and carrying out their project missions, in collaboration with their off-campus community partner(s).

This is a full-time, hourly, 10-month (August through May), exempt position.

Responsibilities include but are not limited to:

  • General Office Support : Greet students and other visitors, answer phones and emails, tidy the office, order office supplies and equipment.  
  • Project Support and Engagement: Order materials and supplies, assist with preparation of printed materials, promote events and fundraisers.
  • Budget and Operating Expenses Assistance: Work with Director to prepare annual budget. Review budget calendars, rosters, applications, volunteer reports, the Annual TLS Report, and TLS Alumni/ae tracking.
  • Archival work: Organize photos, videos, documents and all TLS-related materials from 1996 to present.
  • Outreach projects include: Social media, collaborations with other Bard departments, and the community partner questionnaire.
  • Media preparation: Basic design, editing and layout work.
  • Transportation assistance: Schedule the use of Bard/TLS vehicles. Arrange ground transportation, flights and housing for students traveling for project work.
  • Work closely with the Center for Civic Engagement and Open Society University Network on interdepartmental efforts. 

Qualifications

  • Bachelor’s degree
  • Excellent writing and speaking skills 
  • Ability to multi-task and oversee multiple projects at once
  • Proficient in MS Office, including Excel, Word and PowerPoint, Adobe Acrobat, Google suite, etc.
  • Administrative experience in an office setting preferred
  • Must be able to build relationships with and support a student body that is broadly diverse with regard to race, ethnicity, socioeconomic status, gender, gender identity, nationality, sexual orientation, and religion.

Physical Qualifications

  • Must be able to sit for extended periods of time and work in standard office environment.
  • Must be able to occasionally lift 20 pounds.
  • Must be able to work occasional weekends and evenings as needed.
