The Transportation team, with decades of collective expertise working in the field in New York City and around the world, is dedicated to transforming these leaders’ visions into reality by positioning administrations to deliver on transformative transportation goals, helping to design and deliver specific projects and programs, and helping leaders tell the stories of their successes.
The Position:
The Transportation team is adding an Administrative Assistant to support the existing team as it continues to expand its work and partner with additional cities. The new team member will provide program management support, high level administrative support, research and analysis. Strong written and oral communications, attention to detail, flexibility/availability and project management skills are a must.
They must be a team player who can manage multiple priorities, work with many stakeholders, and thrive in a fast-paced, results-driven environment.
Essential Duties and Responsibilities:
- Provide hands-on administrative support to Principal and team, that including calendar and phone management, scheduling appointments, arranging meetings, anticipating needs, and ensuring all technological resources are working
- Manage all travel arrangements, including flights, ground transportation and hotels
- Prepare written materials, including one-pagers, memos, briefings, and presentation slides
- Conduct research and analysis
- Develop briefings and updates for team members and clients on progress and key policy developments
- Track and report progress in coordination with clients, subconsultants, and other partners
- Review and edit communications including social media posts, newsletters, and blogs
- Support for events and meetings, including invite lists, guest correspondence, materials, and preparation
- Field inquiries to appropriate team members, respond to internal and outside inquiries, and ensure timely response to urgent issues
Qualifications for the Ideal Candidate:
- A minimum of 5 years of administrative assistant experience in a fast-paced, high-performance work environment. A Bachelor’s degree is strongly preferred
- Outstanding interpersonal and communication skills and the demonstrated ability to effectively interface with senior level colleagues, both verbally and written
- Excellent organizational and time management skills. Experience and capability in effectively managing/coordinating simultaneous projects, and successfully prioritizing multiple tasks with sound judgment
- Ability and desire to build and maintain strong relationships with team and applicable internal and external contacts
- Ability to perform and adapt under pressure
- Excellent attention to detail and strong writing/editing ability
- Ability to protect confidential and sensitive information on behalf of the organization
- Strong overall computer skills including proficiency in MS Suite, specifically Outlook, Word, Excel, and PowerPoint
- Language skills are desirable, especially Spanish
- Passion for transportation and public service preferred
- Ideal, but not required:
- Experience managing budgets and/or expenses
- Experience with social media, communications, and/or external relations
