Description

The Associate Bookkeeper assists the Senior Bookkeeper and the Senior Accountant in the creation and maintenance of the agency’s financial records. The Associate Bookkeeper assists in the processing of invoices and other financial reports, data and journal entries, and other clerical functions. The Associate Bookkeeper assists in the reviewing of billing data from programs to ensure accuracy, as well as assists in the calculation of billing charges. The Associate Bookkeeper performs job duties consistent with the mission and goals of the Coalition for the Homeless and the terms of the SSHP agreement with the HIV/AIDS Services Administration. 

  

DUTIES and RESPONSIBILITIES:

The Bookkeeper shall:

1. Assist in the preparation and maintenance of all program related financial records including, but not limited to, program related accounts payable, monthly invoices and other regular financial reports for funding agencies, billing and tracking of clients’ program fees, and client utility and telephone payments;

2. Assist in the reviewing of program billing data to ensure that amounts and account numbers are accurate as well calculate billing charges, assign billing numbers for tracking purposes and assist in the prepares invoices;

3. Track and maintain log of MTA MetroCard/token transactions;

4. Copy donation checks and prepare deposit slips for donations, accounts receivables and deposit the same into Coalition’s bank account;

5. Assist in accounts payables as and when required;

6. Note improper expenses and transactions, if any, and report the same to the Senior Accountant/Senior Bookkeeper;

7. Assist in collating necessary documents and information for the Senior Accountant in order to maintain a good and responsive working relationship with the Coalition’s external auditors and HASA and other relevant funding agencies; 

8. Prepare billing for agencies assigned First Step Program Job Training interns;

9. Maintain fixed asset inventory system and tag all new equipment relevant to asset inventory;

10. Perform office administrative functions including, filing;

11. Obtain regular (no less than weekly) supervision with the Chief Financial Officer or designee; 

12. As requested, participate in weekly staff and other meetings, such as in-service training and staff development and orientation activities;

13. Assist in the design and implementation of department and service enhancements;

14. Perform all other duties as may be assigned by the Chief Financial Officer or designee.

REPORTS TO: Senior Accountant or designee

Requirements

AA/AS in accounting, finance, business administration or related discipline required; BA/BS strongly preferred. Two years of experience as a clerk, assistant bookkeeper or similar position in a Finance/Accounting department required. Experience with FundEZ or similar nonprofit accounting software and Excel required. Skilled knowledge of Word and Access strongly preferred. Must be detail oriented and analytical.
