Job Summary
Reporting to exalt’s Associate Director of Operations, the Administrative & Program Assistant (APA) will be responsible for supporting the program team and the operations team with administrative, logistic, and general office-wide support and must be present in the office every day from 1pm – 7pm.
The ideal candidate will be experienced, love working with young people as well as our adult partners, enthusiastic, highly organized, detail-oriented and process driven, and technologically savvy. This candidate will be responsible to create and promote efficiency within the organization and bring structure to new initiatives. They will be able to masterfully handle multiple projects at the same time and shift gears as needed to accommodate the organization’s evolving needs. The ideal candidate will possess a positive, can-do attitude and thrive in a fast-paced organization, understanding the execution of their responsibilities in the space. The candidate must understand that contributing to the order, structure, safety, and excellence of our physical setting is essential to how we deliver on our mission.
Responsibilities
· Support office through directing calls and greeting all young people and visitors.
· Manage flow of traffic and capacity limits for young people and staff in the space as well as ensure all are adhering to public health and safety protocols as laid out by organizational leadership.
· Develop, maintain, and coordinate office procedures and administrative systems.
· Provide administrative and logistical support for donor, board, team meetings, and events.
· Support the preparation of any marketing materials.
Program & Operations
· Perform logistics and administrative tasks to support program cycles, alumni events, special events and general office operations.
· Set-up and shut down office for incoming and outgoing staff and students daily, including all operational and administrative tasks needed, specific to each day.
· Facilitate management of office all office spaces and classrooms, order program team supplies, and maintain excellent office organization standards.
· Greet and assist program participants and visitors to the office, support students in the space by conveying organizational guidelines and expectations.
· As needed, assist with flow of student traffic to and from classrooms and restrooms and monitor hallways and floor outside of exalt office to ensure that exalt standards and high expectations are being held in all common areas connected to exalt HQ.
· Provide support for general operations and office technology, including help troubleshooting tech needs for printing, fax, internet and use of other equipment such as classroom monitors.
· Answer phone calls and route calls to appropriate parties, assist with outreach to participants, referral partners and other external partners as needed.
· Assist with administrative processes and projects as needed.
· Be present in office 1pm-7pm Monday to Friday to support program needs, and available to stay after 7pm for special events (approx. 6 times per year).

· Adaptability: Able to adapt quickly to new information and unexpected deadlines and obstacles. Approaches change positively.
· Technological experience: Familiarity with Microsoft Office 365, Google Suite, Salesforce, Macs, PCs, Chromebooks, Zoom, Photoshop, Adobe, or media applications preferred.
Minimum Qualifications
· Bachelor’s Degree or equivalent work experience.
· Demonstrated organizational and administrative skills and experience.

· Ability to work in-person 1-7pm, Monday-Friday
· COVID-19 vaccination required
Preferred Qualifications
· Spanish-speaking
· Familiarity with the youth justice field
Compensation: $25-$28 per hour, based on experience.
