Job Summary

Reporting to exalt’s Associate Director of Operations, the Office Manager will set the tone of the exalt office by serving as the first point of contact for students, staff, visitors, and prospective employees during exalt’s business hours (11am-7pm, Monday-Friday). The Office Manager will be responsible for developing, maintaining, and coordinating office procedures and administrative/HR systems. The Office Manager will oversee the order, safety, and excellence of exalt’s physical setting, which is essential to how the organization delivers on its mission.

 

The ideal candidate will be passionate about exalt’s mission and working with youth, and in alignment with the organization’s youth development strategy. The candidate will be highly organized, detail oriented and process driven, with an expertise in adding efficiency and structure to exalt initiatives. The candidate must masterfully juggle multiple projects at the same time and shift gears as needed to accommodate the organization’s evolving needs. The ideal candidate will possess a positive, can-do attitude and thrive in a fast-paced organization.

 

Responsibilities

·      Serve as the first point of contact with exalt by directing calls and greeting visitors

·      Support students in the space by conveying organizational guidelines and expectations and managing the flow of student traffic to ensure that exalt standards and high expectations are being held in all common areas connected to exalt HQ

·      Oversee the management of office space and classrooms, inventory and order needed supplies, and maintain excellent office organization standards

·      Collect and sort the mail, including processing checks received

·      Provide administrative and logistical support, including event planning (ordering food and supplies, set-up, clean-up, etc.) for exalt events such as graduations, meetings, trainings, and site visits

·      Assist with Human Resources duties including job postings, initial candidate screening, interview scheduling, reference checks, and onboarding paperwork

·      Provide support for general operations and office technology, including troubleshooting tech needs for printing, fax, internet and other office supplies and technology

·      Assist with other administrative and operational tasks as needed

Ability to work efficiently in a fast-paced environment.

·      Communication: Clearly, effectively, and efficiently conveys and receives information and ideas. Demonstrates excellent written, oral and listening skills. Welcoming and approachable demeanor.

·      Cultural sensitivity: Has strong familiarity with and understanding of or is committed to learning about exalt students’ histories, cultures, and the socio-economic and political factors which have shaped those. 

·      Adaptability: Able to adapt quickly to new information and unexpected deadlines and obstacles. Approaches change positively.

·      Technological experience: Familiarity with Google Suite, Salesforce, Mac’s, PC’s, Chromebooks. Photoshop, Adobe or media applications preferred. 

 

Minimum Qualifications

·      Bachelor’s degree

·      5-7 years of administrative, operational or HR experience

·      A commitment to exalt’s mission

·      Meet essential competencies (listed above)

·      Ability to work in-person 11am-7pm, Monday-Friday

·      COVID-19 vaccination required

 

Preferred Qualifications

·      Spanish-speaking

·      Familiarity with the youth justice field

 

Compensation

exalt offers an attractive compensation package, including a competitive salary of

$60,000-$65,000, commensurate with experience, plus benefits including health, dental, vision, and life insurance; HRA account; 401k matching; commuter and parking flexible spending, paid time off; and more.
