Overview
Film Forum, an internationally recognized nonprofit cinema located in Lower Manhattan, seeks an experienced assistant to provide strategic, multi-faceted support to the Director. This position provides an opportunity to be exposed to all areas of a nonprofit arthouse cinema’s operations—programming, fundraising, membership, marketing & publicity, theater operations—and contribute to the collaborative interdepartmental workflow at a highly regarded NYC arts institution. The ideal candidate will be highly organized, proactive and able to work independently, attentive to fine detail, discrete, and enjoy equally administrative and interpersonal work. This is a primarily in-office position.
Responsibilities:
- Coordinate Director’s schedule – meetings, deadlines, project & event timelines, travel
- Develop, streamline, and support administrative systems for Director’s optimal workflow in relation to multiple departments
- Work with Director and other staff to hire, coordinate schedules, and supervise in-office interns (3) working in two different office locations
- Assist with all aspects of event and meeting prep, including attendance at events (some evenings and weekends)
- Assist with IT troubleshooting and work with IT consultants to solve more complex issues
- Coordinate ongoing archiving process: work with other staff to inventory, catalog, organize, and digitize print materials
- General office management (FF satellite office): track inventory of supplies, de-clutter and organize materials and storage, retrieve and send mail, answer phones
- Contribute to outreach and social media efforts
- Proofread written and designed hard-copy and e-materials, as needed
- Other tasks and projects as needed by Director
Qualifications:
- Superior, self-driven organizational orientation and a knack for streamlining workflow
- 3+ years of office experience, including effective project management
- Ability to take initiative, prioritize, and follow through on multiple administrative tasks simultaneously
- Mature interpersonal skills / ability to work effectively with a range of personalities
- Discretion and ability to handle confidential information
- Strong tech skills, including proficiency with Excel, Outlook, and PowerPoint; proficiency with basic databases and project management programs (e.g. Asana) preferred
- Excellent written and verbal communication skills, including meticulous proofreading
- Interest in independent film, arts, and/or nonprofit work
- Supervisory experience preferred
- Strong eye for visual detail and design a plus
