We’re seeking a compassionate, organized and detail-oriented individual to lead our brand new veterinary clinic opening in Flatbush, Brooklyn in early 2023. This new veterinary clinic will expand affordable access to thousands of New York pet owners and rescue volunteers – saving thousands of lives every year. 

The Director of Clinic Operations will play a critical role in helping to launch and maintain the entire clinic. They will be accountable for successful day-to-day operations and high quality patient outcomes, while ensuring the overall financial health of the clinic, and that we are meeting our goals and broader mission. They delegate duties as needed to achieve goals, and oversee support staff to ensure individual duties are being completed, while also being ready to step in and work alongside staff as needed to meet goals. 

The successful candidate will be self-directed, proactively managing the veterinary clinic in accordance with overall program goals, timeline, budget and quality expectations. They will be primarily responsible for recruiting and scheduling both veterinary and operational staff – and can provide leadership, coach, and performance manage team members when necessary. 

RESPONSIBILITIES

Operations

  • Oversee daily operations for the veterinary clinic
  • Ensure that all quality standards are met and maintained
  • Ensure that our clients receive excellent customer service, addressing client complaints or concerns as needed
  • Collect, organize and summarize data for performance measurement, internal and external reporting and decision-making
  • Ensure proper procedures are in place for animal handling, disease control, and patient careRepresents the clinic in a professional, courteous manner at all times

Finance

  • Lead financial oversight for the clinic – including ongoing cost controls, budget tracking and planning
  • Manage clinic resources within approved budgets and guidelines
  • Measure clinic performance on a regular basis with regards to finances and specific program services 
  • Manage all financial aspects of the clinic, including accounts payable, expense management, and reconciliation (with support from bookkeeper and finance team)
  • Review medical and office inventory to ensure proper spending 

Human resources

  • Manage the human resources of the clinic, including hiring and performance evaluations
  • With support from the Clinic Manager, oversees scheduling, payroll, and personnel files
  • Oversee training and development for clinic staff

REQUIRED SKILLS 

  • This position requires multitasking in a fast-paced, dynamic environment. Flexibility and adaptability will be invaluable as job duties may fluctuate from day to day. 
  • The ability to communicate assertively and effectively with staff and clientele is essential. 
  • The ideal candidate will demonstrate self-initiative and the capacity to work independently. 
  • Must be able to objectively evaluate clinic logistics and implement working solutions to inefficiencies in real time. 
  • Work duties may include occasional weekends and evenings, with advance notice, and occasional disruptions after work hours (employees calling off, scheduling issue, etc.). 
  • Must be familiar with basic veterinary medical concepts including but not limited to vaccine protocols and anesthetic risks (or willing to learn quickly)
  • Ability to communicate with the public on a regular basis in a professional manner 

EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, ABILITIES 

  • 3+ years managing people and operations in a veterinary or hospital, or hospitality environment preferred
  • High comfort level with budgeting tools including Microsoft Excel 
  • Customer service experience 
  • Familiarity with Spay/Neuter Alliance methods and protocols a plus
  • Fluency in Spanish or Haitian Creole a plus

REPORTING RELATIONSHIPS

The Director of Clinic Operations reports to the Executive Director, and works closely with the Lead Veterinarian and Clinic Manager daily.
