Overview
Summary/Description:
The Fund seeks an Events Assistant
and Office Manager to support the Fund’s daily operations by maintaining the
organization’s physical location, managing the supply inventory, and overseeing
the policies, procedures, activities and events onsite. This position has
additional administrative responsibilities at the discretion of the President
and Vice President of Finance and Operations to support the broader operations
and senior leadership team.
About the Fund: The Fund for the City of New York was established by the
Ford Foundation in 1968 with the mandate to improve the quality of life for all
New Yorkers. For over five decades, in partnership with government agencies,
nonprofit institutions and foundations, the Fund has developed and helped to
implement innovations in policy, programs, practices and technology in order to
advance the functioning of government and nonprofit organizations in New York
City and beyond.
The Fund seeks out, adapts, applies
and assesses ways to enable government and nonprofit agencies to achieve
excellence through its core programs—the Cash Flow Loan Program, the Partner
Project Program, the Sloan Public Service Awards, the Sloan Awards for
Excellence in Teaching Science and Mathematics.
Responsibilities:
The responsibilities of the
Facilities and Office Manager include but are not limited to:

Manage the overall office environment to
ensure a professional, safe, secure and organized workspace
·
Act as the first point of contact
regarding all facility-related issues, contact the appropriate vendor and see
the project through to completion
·
Manage events calendar, scheduling
and adjusting events and speaking with interested groups
·
Provide support for events onsite
and offsite, which could include moving tables and chairs, setting up signage,
setting up AV, ordering food and beverages for participants, among other things
·
Ensure that maintenance issues are
logged and relayed to maintenance staff and addressed in a timely manner
·
Keep track of all of the Fund’s
locations for insurance purposes. File and track all leases on space and handle
insurance inquiries, claims, and certificate of insurance requests.

Supervise nightly cleaning team
·
Manage the office’s administrative,
kitchen and bathroom supplies: keep an inventory, approve the placement of
orders, verify and e-file receipts
·
Manage vendor relations and accounts
as they relate to facility and administrative needs (e.g., copiers,
mail/shipping systems, etc.)
·
Provide back-up to the receptionist,
covering the front desk during their lunch and breaks daily
·
Act as Liaison to Coop Board
·
Order food for team meetings and
staff celebrations
·
Manage front desk and staff vacation
schedules
Qualifications:
·
2-3 years of work
experience in an office management, events management, or related role
·
Must have
exceptional attention to detail
·
Strong
organizational and time management skills, and ability to prioritize and manage
projects with clear workplans; demonstrated ability to follow tasks through to
completion
·
Must be a
self-starter and driven
·
Excellent
communication and interpersonal skills, with strong customer service and
ability to interact with a wide variety of people
·
Strong
problem-solving skills and analytical abilities
·
Must be
proficient with Microsoft
Office
·
Must be able to lift up to 35 pounds
at times
Compensation: The salary range for this position is
between $53,000 – $59,000 and is commensurate with experience. Excellent
benefits package including comprehensive health, dental and life
insurance, four weeks paid vacation, paid sick time,

care, a 403(b) retirement plan and a 401(k) retirement plan with a generous
