Overview

Girls Who Code (GWC) is seeking a full-time Programmatic Events Associate to support the planning and execution of engagements for participants and supporters of our programs. The Programmatic Events Associate will report to the Programmatic Events Manager and collaborate with the K-12, College & Career and Development Teams to ensure all event attendees and presenters receive a high-quality experience. A successful candidate will have a strong interest in event management, particularly in an academic or school-based setting, and a passion to further Girls Who Code’s mission to empower young women to pursue Computer Science.

This is a full-time position that is based in New York City. A regular, hybrid work schedule, requiring 2 days in the office, is currently in place. Subject to change. We are not considering remote applicants.

Responsibilities:

Event Logistics Support

  • Support the planning and execution of virtual and in-person events for our K-12 and College & Career Programs Teams, including field trips, panel discussions, speaker series, workshops, and graduation events
  • Draft and send event marketing communications to appropriate audience lists
  • Create virtual platform links (registration, login, etc.) and descriptions for events; lead quality assurance and check status of said links and all technical logistics and prep
  • Execute technical production of virtual events on a given platform (Zoom, Hopin, etc.)
  • Update production materials (slide decks, runs of show, etc.) that support successful GWC and partner-branded events
  • Support the Programmatic Events Manager with moderator roles, facilitating panel discussions and any event requiring a facilitator to ensure smooth production
  • Create guides and other resources to support educators, students, and other stakeholders in the planning or preparation of their event

Registration and Attendance Oversight

  • Collaborate with members of Marketing and Communication, K-12, and College & Career Programs Teams to plan social media and other communications to increase event awareness and attendance
  • Draft and send event registration emails
  • Track event signups and flag event registration or conversion concerns to relevant programmatic teams
  • Collaborate with Programmatic Events Manager on incentives for increasing registration to attendance conversion
  • Support execution of other strategies to meet the increased demand for a dynamic and engaging events for GWC participants and partners

Coordination of Clubs Visits

  • Coordinate and execute on-demand virtual and in-person Clubs Visits for GWC staff and funders
  • Develop an internal plan and timeline for communications, sign-ups, and ensuring quality assurance for all stakeholders
  • Create resources to support Clubs Facilitators and GWC staff in their roles and responsibilities throughout the Visit
  • Own follow-up and nurture communications to retain Facilitator interest in hosting future Visits

Qualifications

  • 1+ years experience in event planning, operations, and project management; interest/experience working with youth and school systems strongly preferred
  • Familiarity with platforms for event registration and virtual conferences (e.g. Eventbrite, Hopin, Zoom); demonstrated ability to learn and test new technologies
  • Strong customer-service orientation
  • Attention to detail and an eye for consistency and branding
  • Proficiency with Google Suite strongly preferred 
  • Familiarity with marketing tools such as Mailchimp, CampaignMonitor a plus
  • Experience with public speaking/emceeing a plus
  • Able to comfortably adapt and problem-solve in a diverse and dynamic environment
  • Ability to work independently
  • Computer Science experience is not required
