  • Our network of Greenmarkets, Farmstands, Fresh Food Box sites and GrowNYC Wholesale program ensures that all New Yorkers have access to the freshest, healthiest local food.

  • We build and support community and school gardens through volunteer days, technical assistance, training, grants and more.

Procurement Specialist

Procurement Specialist 

Position Summary

GrowNYC Wholesale, NYC’s first and only food hub, currently sources from 50+ mid-sized local and regional producers to ensure a continuing supply of fresh produce to a wholesale customer base, many of whom are institutional and non-profit partners with food access programming. Beginning in late 2023, the operations will be doubling in size as we move to our new state-of-the-art home in Hunts Point, Bronx with the goal of adding 100+ producers to our expanding mission driven business.

Reporting directly to the Lead Procurement Manager, the Procurement Specialist is responsible for day-to-day procurement operations and support. The position assists the Lead Procurement Manager in preparing the GrowNYC Wholesale product list. The Procurement Specialist is a main point of contact for suppliers regarding any business opportunities and helps resolve any issues/concerns. They are responsible for preparing purchase orders, arranging delivery logistics, processing supplier invoices, and contacting suppliers for availability and pricing. In addition, they will assist in inspecting the quality of received product and maintaining supplier, product, and inventory databases, ensuring that information is accurate and up to date. This role supports the Lead Procurement Manager in periodically reviewing GrowNYC Wholesale’s supply chain effectiveness, implementing strategic sourcing initiatives, and preparing procurement reports as needed. 

Requirements Procurement Specialist Responsibilities (Include but are not limited to):

  • Prepare three product lists per week working closely with vendors to determine availability, fair pricing, and delivery logistics
  • Arrange freight logistics with vendors and third-party freight providers for product deliveries
  • Create purchase orders for vendors
  •  Use hybrid just-in-time and inventory system to stock appropriate volumes of food for distribution and maintain accurate inventory
  • Track received purchase orders and process supplier invoices based on received product
  •  Communicate delivery issues, product quality issues, etc. with suppliers in a timely manner
  •  Maintain and update product, supplier, and inventory databases 
  •  Keep sales and food access programming team up to date on upcoming offerings and changes in availability
  • Respond to inquiries and emails from suppliers
  •  Assist with quality inspections
  •  Provide coverage for Lead Procurement Manager responsibilities in their absence

Required Qualifications

· Strong organizational and time management skills

· Proficient in Microsoft Office, Google workspace, and inventory management software 

· Excellent oral and written communication skills  

· Detail oriented and ability to multi-task

· Ability to take initiative as well as seek direction  

· Flexibility and willingness to occupy a position that grows and changes with the program and organization 

· Strong desire to work hard and make a true and positive impact in the regional food system

Ideal Qualifications

· 1-2 years experience in a similar role 

· Familiarity with fresh produce, especially selling or preparing in a commercial setting a plus 

· Awareness of produce quality and food safety standards at a wholesale level a plus 

· Fluency in multiple languages, including Spanish is a big plus 

· Knowledge of sustainable local agriculture/farming, food systems, food access, and/or food justice

· Knowledge of purchasing procedures and supply chain management 

· Valid New York driver’s license

Physical Requirements

This position will occasionally require the ability to stand and lift product weighing up to 50lbs in order to perform quality inspections. 

Schedule

(Monday – Friday 9am – 5pm) This is a full-time (35-40 hours/week) position. 

Compensation

This is a salaried non-exempt position. It pays $60,000-65,000 annually and includes full benefits (medical, dental, vision, life insurance, long-term disability, pension plan and paid time off).

Location

Hybrid role including 3 days remote, and 2 days in person from GrowNYC Wholesale’s Bronx warehouse. May occasionally require off-site travel to conduct farm visits.
