Overview

General Responsibilities:

Receptionist duties:

  • Manages front desk answering telephone and doorbells, forwarding calls and taking messages;
  • Provides information and assistance to Clients and vendors;

Administrative responsibilities:

  • Composes own correspondence.
  • Complete and tally menus and clients meal preference.
  • Maintains databases, inputting clients on hold and not home in Sharepoint. Input new clients and clients on hold into the STARS database.
  • Maintains and collects invoices document time and file for AVID input .
  • Prepares and submits reports to JASA, DFTA and other funders as needed under direction of supervisor.
  • Works closely with Contract Program Coordinator to see that program information being disseminated verbally and in written form is correct.
  • Maintains office and maintenance supply inventory, preparing and submitting orders for supplies and equipment.
  • Additional responsibilities as required.

Requirements:

  • High School Graduate or equivalent.
  • Minimum of 2 years secretarial or other clerical experience.
  • Ability to type a minimum of 65 words per minute.
  • Ability to handle confidential information with sensitivity and discretion.
  • Ability to handle own correspondence and the ability to express himself/herself clearly and concisely via oral and written communication.
  • Ability to complete assignments efficiently, set priorities, meet deadlines, work on several projects at once and deal with staff effectively.
  • Proficiency in Microsoft Word, Excel and data based technology.
  • Good grammar, spelling and arithmetic skills.
  • Sensitivity for and understanding of the needs of the elderly.
