Overview
Office Manager, Long Island City Partnership
We are currently searching for an extremely organized Officer Manager with the ability to multitask in a fast-paced environment while giving strong attention to detail, and maintaining our day to day operations. This position plays a key role in the daily operations of our organization and interacts with all of our departments: Executive Management, Business Assistance, BID Operations, Marketing, Events, and Community Development.
LIC Partnership (LICP) is the neighborhood development organization for Long Island City (LIC). Our mission is to advocate for economic development that benefits the area’s industrial, commercial, tech, cultural, tourism, and residential sectors. The goal is to attract new businesses to LIC, retain those already here, welcome new residents and visitors, and promote a vibrant and authentic mixed-use community. LICP also operates the LIC Business Improvement District (BID) and the LIC Industrial Business Zone (IBZ), providing business services and assistance.
Office Manager
General Office/Operations
- Provide support to staff, assisting in daily office needs and managing our company’s general administrative activities
- Track correspondence received as well as out-going documents
- Respond to in-coming calls and direct to the appropriate staff member
- Oversee the onboarding of new hires and off-boarding of those leaving
- Prepare and setup for meetings (order food and reserve rooms
- Keep track of and order office supplies
- Schedule staff meetings and ensure that meetings have agendas
- Reach out to internship programs for interns
Executive Support
- Manage President’s calendar as well as conference and meeting room calendars
- Prepare merged mailings and draft simple correspondence on behalf of the President
Finance and Contracts
- Compile administrative paperwork for contracts and assist with the compilation and organization of documents for audit.
- Reconciling receipts for monthly credit card statements
- Assist with tracking sponsorship and Board engagement
LICP & LIC BID Board Meetings
- Manage board meeting materials and logistics
- Attend and prepare agenda, minutes, and other meeting materials
Membership
- Manage membership administration including sign ups, renewals, and tracking in Salesforce. As well as their onboarding into our member portal through Tradewing
Qualifications and Skills
- Relevant experience required as well as a minimum 2-year degree (4-year preferred)
- Strong organizational skills and attention to detail required
- Excellent interpersonal skills, over the phone, zoom and in person
- Excellent writing skills
- Proficiency with Microsoft Office
- Experience with Salesforce or another CRM software a plus
- Ability to multi-task and prioritize tasks
