About the Operations Manager

The Operations Manager (OM) at Masa will be responsible for developing and adapting processes and procedures at the Masa office in the South Bronx, to ensure the smooth and efficient execution of day-to-day activities. The ideal candidate gets excited about creating new systems and is adept at planning and prioritizing, communicating, anticipating challenges, and stewarding resources. The OM will not only manage office operations but also actively participate in creating and sustaining a positive work environment and team culture, supporting the staff recruiting and hiring process, and assisting with a variety of projects to increase Masa’s impact. As the office administrator, the OM will supervise a part-time maintenance worker, liaise with a range of vendors, and manage relationships with the staff, volunteers, and community members who navigate our shared spaces. The Operations Manager will report to the Executive Director and work with them to advance strategic initiatives and improve organizational health.

RESPONSIBILITIES

General Office Operations

  • Answer incoming calls to Masa’s main line and make appropriate referrals
  • Warmly greet/receive visitors to Masa’s offices
  • Monitor voicemail and general email inquiries
  • Process incoming and outgoing mail and packages
  • Manage team calendars and staff schedules, including room reservations
  • Maintain physical filing systems for compliance records and lead on migrating physical filing of contracts and other organizational documents to virtual platforms
  • Procure office supplies and maintain inventories
  • Manage timely distribution and accurate tracking of staff equipment and technology needs and troubleshoot issues as they arise
  • Develop “how-to” guides and tutorials for organizational policies and procedures and technology used by staff

Facilities Management

  • Supervise Masa’s part-time custodial staff and maintain responsibility for facility cleanliness and security to ensure a healthy and safe working for all (including emergency preparedness)
  • Liaise with landlord, co-tenant, and service vendors on facility and maintenance issues
  • Oversee and implement all facilities protocols with respect to opening, closing, and COVID-19 safety measures
  • Lead on space management special projects such as office expansion and downsizing, and communicate with neighbors and community partners as needed
  • Initiate, negotiate, and maintain relationships with key vendors and manage related processes, including processing invoice payments, placing orders with vendors, reconciling deliveries, and contacting vendors regarding equipment maintenance

Executive Team and HR Support

  • Support recruitment, orientation, and onboarding of new staff and volunteers
  • Support hiring managers with collecting and filing new-hire paperwork
  • Oversee benefits enrollments and terminations
  • Provide general support to staff with printing, filing, completing forms, etc
  • Support community events, as needed

Qualifications

The ideal candidate will possess many or most of the following qualifications:

  • 2-3 years of relevant experience in office management or a similar administrative role
  • Exceptional critical thinking and organizational skills, attention to detail and proven ability to handle competing priorities
  • Strong interpersonal skills including collaboration, problem-solving, and knowledge-sharing
  • Excellent written and verbal communication; bilingual English/Spanish required
  • Experience creating, implementing, and/or maintaining people-centered processes
  • Proficiency in Microsoft Office and Google suite; familiarity with Salesforce and/or QuickBooks a plus
  • Shares Masa’s commitment to advancing social and racial justice through a community-led model and is comfortable discussing their own race journey
  • Experience working with immigrant and indigenous-speaking families is a plus

Physical demands

  • This position is in person at Masa’s office and may require local travel to other settings at times (e.g., Masa community events)
  • Schedule will include occasional evenings and weekends
  • Light to moderate carrying of office materials is required
  • COVID-19 vaccination is required

Compensation

$60,000 annually
