Overview

We are seeking a highly organized and motivated individual to join our team as an Office Coordinator. The Office Coordinator will play a crucial role in supporting the daily operations of the office and team by ensuring the smooth functioning of our office. This position will encompass a variety of administrative and operational responsibilities, making it ideal for someone with strong organizational skills and a passion for community development. This is a paid, in-person role working out of the MDMA office in the Meatpacking District. The office is a walk-up and responsibilities are inside and out of the office.

Key Responsibilities:

 1. Office Management:

  • Oversee the day-to-day operations of the office
  • Manage office supplies and inventory
  • Ensure a clean and organized office environment

2. Administrative Support:

  • Provide administrative support to the executive director and team members
  • Assist in scheduling meetings and appointments
  • Manage and maintain office files, documents, software licenses, and databases
  • Handle incoming and outgoing mail and communications

3. Event Support:

  • Assist in the planning and coordination of community events, meetings, and workshops
  • Collaborate with event organizers to ensure successful execution

4. Financial Support:

  • Assist with basic financial tasks such as expense tracking and invoice processing.
  • Work with the finance team to ensure accurate record-keeping.

5. Communication:

  • Answer and direct phone calls, emails, and inquiries as the first point of contact.
  • Maintain and update the organization’s databases, website, and social media platforms.

6. Membership Support:

  • Assist with membership inquiries, renewals, and engagement activities.
