Overview
NAMI-NYC seeks a detail-oriented and dynamic individual for the part time role of Office Associate to assist the organization with general facilities management, securing the office space, greeting and managing visitor access, and reception and administrative duties.
As the first point of contact at the NAMI-NYC office, candidates should be friendly, excel in problem solving, communications, and internal as well as external customer service. The Office Associate will also be charged with creating and maintaining systems within the office space and completing administrative projects for staff members. The ideal candidate is organized, can anticipate needs, manage competing priorities and keep the office running smoothly with a positive can-do attitude.
Your Responsibilities:
To perform this job successfully, you must be able to perform the following satisfactorily; other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
- Greet NAMI-NYC onsite participants and visitors in a professional and friendly manner, direct them appropriately, escort visitors from the lobby and/or announce visitors to appropriate personnel.
- Secure the 8th floor perimeter and restrict access to unauthorized visitors.
- Support staff members and program volunteers in setting up rooms for programs, meetings and events and tearing down/returning to standard setup.
- Maintain our full office space (reception, program rooms, working areas, breakrooms, storage closets, and event spaces) including monitoring supplies.
- Train and support program staff and volunteers with A/V technology around the office, (with support from the Director and Associate of Operations).
- Data entry assignments as needed.
- Support and participate in other NAMI-NYC events, as requested.
- Other duties as assigned.
Your Qualifications:
- High School Diploma or equivalent.
- 2-3 years of work experience in an office environment.
- Excellent customer service skills
- Ability to work effectively with diverse populations with a high level of integrity, diplomacy, and initiative.
- Detail-oriented with strong administrative and organizational skills.
- Multi-task, prioritize work and possess excellent time management skills to meet deadlines.
- Proficient in the use of personal computers, Microsoft applications and Zoom.

Physical Demands:
While performing the duties of this job, the employee is required to stand for long periods of time or sit in a stationary position. You must occasionally lift and/or move equipment of up to 25 pounds.
