Executive Assistant (Confidential Assistant – B) 

The New York City School Construction Authority (NYCSCA) builds and renovates public schools throughout all of the boroughs. We believe that schools should be efficiently designed and constructed; they should be safe, attractive and environmentally sound. The SCA’s responsibilities span the life of each project (new schools, additions, and capital improvements to existing schools) from planning, real estate, budgeting, scoping, and designing, to construction completion. 

The SCA is seeking an Executive Assistant (Confidential Assistant) who is responsible for independently performing confidential and complex secretarial functions and administrative duties.

Responsibilities Include:

•Manages incoming community relations inquiries via 311 and SCA hotline and route appropriately

•Prepares and route contracts; prepares RFPs and coordinates submissions; prepares requisitions 

•Creates external-facing content, presentations, visual aids; assists with social media and websites

•May supervise administrative support staff, secretarial and clerical/support personnel; plans, assigns, monitors, reviews and evaluates work of such personnel

•Serves as liaison between other staff members and the Office of the Vice President

•Produces, updates and provides best practice support on documents, databases and other departmental systems including purchases, budgets, expenses

•Schedules appointments, arrange meetings and conferences, take phone calls, manages emails

•Evaluates office production; revises procedures, forms and methods to improve efficiency

•Maintains files, records, spreadsheets, other document management needs; manages supplies

•Track projects and performs related duties, as assigned

Minimum Qualifications:

High school diploma or its educational equivalent plus six (6) years of full-time experience in progressively more responsible secretarial, administrative or clerical duties; four years must have been in an administrative or supervisory position or performing high complex secretarial duties and proficiency in typing, word processing, spreadsheets and other office equipment as specified or a satisfactory combination of education and experience. Strong customer service orientation and problem resolution skills required.

Experience in Microsoft Office required. Graphic design, presentation preparation, social media experience a plus.
