ESSENTIAL DUTIES AND RESPONSIBILITIES

Under the general supervision of the Leasing Manager, the Leasing Assistant is responsible for leasing activities leading to the rent-up of apartments within RiseBoro’s existing housing portfolio. The position is responsible for performing various administrative functions while providing excellent customer service to current, and prospective residents and third-party agency representatives. Specific duties and responsibilities include: 

  • Assist with the facilitation of all aspects of the apartment leasing process and qualifying prospective residents using the designated portal
  • Contact applicants to schedule and conduct eligibility appointments
  • Collect eligibility documentation & determine the eligibility of applicants based on income restriction processes
  • Consult with prospective tenants to identify requirements and budgets, then matches these needs with available properties
  • Follow up with applicants to secure missing documentation or collect additional information and documentation required
  • Communicate application determinations to applicants i.e. approval, denial, waitlisted, etc.
  • Manage all appeal responses with Housing Preservation & Development ( HPD), coordinate HPD paperwork signing, etc.
  • Conduct background and credit checks; verify references as directed by Leasing Manager
  • Request and review all applicant income/ assets/ housing initial verifications from the applicant and third parties
  • Coordinate unit viewing with potential renters and lease signing with applicants upon obtaining HPD approval
  • Prepare leases for review and approval by the Leasing Manager; obtain property management and tenant signatures
  • Assist with the coordination of move-in dates, materials, and processes
  • Create and Organize tenant files, submit them to the auditor/investor for processing, and maintain audit ready
  • Track the progress of all leasing activities for each project and maintain updates in the tracking log
  • Support the Leasing Manager and the Leasing Coordinator with all aspects of RiseBoro leasing activities
  • Generate and distribute lease renewals 150 days before the expiration date with the proper follow-up to make sure all leases are effectuated by the specified due date
  • Assists with recordkeeping, filing, bookkeeping, and processing paperwork as required, including but not limited to posting lease renewals and entering move-in information into Yardi Systems software
  • Perform administrative tasks and other related duties as assigned by the Leasing Manager

COMPETENCIES

  • Demonstrated experience working in a leasing department/office or related work experience
  • Demonstrated professional experience in marketing or property management preferred
  • Proficiency and demonstrated experience in the NYC Housing Lottery process preferred
  • Excellent oral and written communication skills
  • Excellent organizational and record-keeping skills with meticulous attention to detail required
  • A self-starter with the ability to work independently and collaboratively
  • Ability to prioritize workload and meet deadlines
  • Proficient in Microsoft Office Suite i.e. Word, Excel, etc.
  • Excellent interpersonal skills with solid sales and customer service skills preferred
  • Knowledge of Yardi Systems Software preferred
  • Affordable housing management experience preferred
  • Bilingual English/Spanish speaker strongly preferred
  • Proficiency in Yardi Systems or similar software preferred
  • Experience with Housing Connect 2.0 is preferred

EDUCATION and EXPERIENCE

  • High school diploma or equivalent required
  • Low-Income Housing Tax certification preferred
  • A minimum of one (1) year of work experience in a related field required
  • A minimum of one (1) year of experience in marketing, leasing, or property management preferred
