Overview
The Roosevelt House Public Policy Institute at Hunter College seeks to fill a full-time (40 hours/week) Event Coordinator to assist with all aspects of public and academic programs. Candidates must be available to work evenings/early mornings/weekends as needed. The events team is responsible for producing a wide range of programs (e.g. large conferences, book/panel discussions, seminars, breakfast meetings, etc.) and the Event Coordinator is integral to their success. The Event Coordinator will also provide support for maintaining academic programs, such as tracking faculty funding and award letters, and other duties as assigned.
Events
- Staff events, including evenings and occasional weekends
- Assist with event planning for internal Roosevelt House events and in conjunction with staff from Hunter College’s Special Events department, as well as other Hunter College Academic Department staff.
- Maintain an ongoing calendar of deadlines and event-related tasks, such as contracting with vendors, tracking various approvals, work orders, etc.
- Create and submit detailed work orders and communicate with Facilities regarding event logistics
- Maintain RSVP lists for events and track venue capacity
- Oversee the room layout for events in conjunction with the Events Manager
- Assist with event set up and/or break down of installation of event elements
- Procure food items/supplies for events and keep detailed inventory
- Secure temporary liquor licenses for events
- Respond to special requests that may come up during events
- Implement best practices and standards in guest services at special events
- Coordinate event space requests from other Hunter College Academic departments and programs
- Event completion documentation and debriefing
Qualifications
- Minimum of one year of experience in an office, especially with planning events and;
- Two years’ experience in the hospitality industry
- Strong time management and communication skills, especially when balancing multiple projects simultaneously
- Ability to prioritize and exhibit strong judgment/critical thinking
- Proficient in Microsoft Office Suite
- Must be comfortable working on projects independently and collaborating with a team
- Must be available to work evenings, early mornings, and weekends as needed
Preferred Experience
- Bachelor’s degree or equivalent, related experience
- Prior event planning experience
- Graphic design ( e.g., Adobe Creative Suite, Canva, Microsoft Publisher)
- Database and marketing software (Raiser’s Edge, Net Community, Salesforce)
- Food and beverage experience
