Job Overview
The Second Stage Theater Operations department is seeking an Operations Coordinator to assist with the management of all of 2ST’s facilities, including the Hayes Theater, the Tony Kiser Theater, and 2ST’s administrative offices. The Operations Coordinator will work closely with the Director of Operations to ensure that each venue remains compliant with all New York City Building and Fire codes. The Operations Coordinator will also provide general administrative support to the Operations department, including payroll entry and review, budget/billing support, scheduling, supply management, and more.
Duties & Responsibilities
Billing & Payroll
- Collect new hire paperwork for Operations / Theater staff and send to HR
- Perform payroll hours entry and review for Operations staff
- Maintain departmental billing & invoicing records
- Prepare and submit Operations reimbursements and credit card reports to Finance
Facilities
- Assist with management of vendors including scheduling of regular and emergency maintenance visits
- Assist with management of capital projects
- Manage permits
- Support asset management activities
- Assist with supplies and inventory management
Front of House
- Assist with scheduling of Front of House staff and volunteer ushers
- Assist with onboarding of new FOH staff
- Manage Playbill deliveries
- Manage theater lost and found operations
IT
- Assist with minor desktop support issues throughout the organization
- Support asset tracking and management
Office Management
- Order and manage supplies at theaters
Safety & Security
- Manage scheduling and training of stage door staff
- Assist with administering venue keys and access control systems
- Assist with management of 2ST’s COVID-19 safety plans
Additional Duties
- Perform other duties to support the Operations department, as assigned
Requirements
- Experience in a theater / performing arts organization a plus, but not required
- Excellent communication and interpersonal skills; bilingual (Spanish) a plus
- Strong organizational skills, ability to prioritize effectively, and attention to detail
- Self-motivated with excellent problem-solving and troubleshooting skills
- Ability to learn and convey technical information to a non-technical audience
- Strong computer skills and proficiency in MS Office Suite

- A willingness to learn or working knowledge of: Building Management Systems (BMS), Construction/MEP drawings, HVAC systems, NYC building codes,
- The successful candidate would be required to obtain an FDNY certificate of fitness for Indoor Places of Assembly.
Work Environment
Time will be spent in an office with quiet to moderate noise level. The office environment requires using the computer, phone, and other routine office equipment. The majority of the work will be performed inside at room temperature.
Physical Requirements
Position requires long periods of sitting. Employee is required to use their hands for keyboard and other office equipment. The employee may use stairs throughout the day and walk throughout the theaters. Some light physical work may be required. The ability to lift up to 20lbs may be necessary.
Hours of Work
Second Stage’s working hours are 10 AM to 6 PM. Occasional evenings and/or weekends may be required.
