POSITION SUMMARY

Reporting to the Manager, Diversity, Equity, and Inclusion (DEI) within the Office of the President, the Specialist will support DEI planning and coordinate DEI activities by working with SF staff across the foundation. In addition, the Specialist will spend 25% of their time supporting the Chief of Staff on special projects.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

The position will support the Manager, DEI in developing, coordinating, monitoring, and/or reporting on all DEI activities, with a focus on expanding a culture of belonging and engagement at the Foundation.

General Responsibilities – 75%

Project Management

  • Serve as project manager for various internal and external DEI projects including employee resource groups (ERGs), external-facing DEI grantmaking, and engagement with communities
  • Provide coaching, support, and technical assistance to ERG co-chairs as they lead their groups
  • Provide coordination and support to ERGs in program development and organizing socio-cultural activities/events relevant to each group. Work with group leaders as needed to identify internal/external speakers, facilitators, and resources
  • Create processes that will track/monitor ERG budgets and member engagement

DEI Learning

  • Partner and work closely with HR to coordinate DEI training schedules across the foundation
  • Centralize all DEI-related information including (but not limited to) grants, programs, events, and vendors
  • Manage the creation and distribution of DEI resources to cross-functional departments for dissemination through internal platforms (Workday; SimonsNet; etc.)
  • Develop and implement a communication strategy and editorial calendar in partnership with the Communications department to ensure the timely and effective distribution of information about DEI efforts across the foundation

Engagement & Relationship Building

  • In collaboration with the DEI Manager, help to identify internal and external engagement opportunities
  • Attend external events including conferences, meetings, and networking events to promote opportunities and support recruitment efforts
  • Build relationships across the foundation and meet regularly with staff for coffee/tea chats to engage staff in the DEI strategy

Supporting the Chief of Staff – 25%

  • Assist with planning and executing project meetings, seminars, workshops, group-specific team-building events, and external retreats including polling for availability, collecting meeting materials, ordering catering, coordinating internal calendars, and making travel and conference arrangements in conjunction with the Events team.
  • Provide administrative support to the DEI Manager and Chief of Staff including scheduling meetings, preparing expense reports, ordering supplies, and coordinating visits by external guests.
  • Assist in the preparation of PowerPoint presentations and meeting materials.
  • Perform any other duties as assigned or required.

MINIMUM QUALIFICATIONS

Education

  • Bachelor’s degree

Experience

  • Three or more years of experience with diversity, equity, and inclusion work

  • Excellent project management skills with a proven track record in initiating and successfully leading projects according to outlined scope, budget, and timeline
  • Exceptional interpersonal skills and ability to build strong professional relationships across multiple internal and external stakeholder groups
  • Strong administrative and organizational skills with attention to detail and the ability to balance and prioritize workload under deadlines and multiple commitments
  • Excellent writing, communication, and facilitation skills
  • Experience with facilitating learning and development opportunities
  • Comfort working independently as well as part of a team
