Overview

Overview:

Responsible for reception and appointments in Health Services, scheduling, entering information into practice management system, communication with students, filing, handling confidential and sensitive information, and miscellaneous administrative assistant duties.

Responsibilities:

  • Schedule all Health Services patient appointments
  • Maintain provider schedules and alert providers to changes in daily scheduling
  • Enter encounter forms for every medical visit into electronic practice management system
  • Make calls or send emails to confirm appointments
  • Coordinate referrals to external providers and provide necessary information forms
  • Answer phones and emails
  • Maintain and file confidential medical records
  • Greet patients and provide necessary intake forms
  • Provide basic instruction to students regarding health insurance claims
  • Log and collect fees for orthopedic supplies. Send fee billing to Bursar’s Office monthly.
  • Maintain other office logs as necessary (Health History forms, radiology, vaccine compliance)
  • Manage in-coming and out-going mail and faxes
  • Maintain chart files for Health Services, including physical therapy, occupational therapy, chiropractic and nutrition
  • Maintain consent and authorization forms
  • Respond to student and alumnae requests for medical records
  • Maintain archives of medical records
  • Contact Medical Director as needed by practitioners
  • Familiarity with and adherence to patient confidentiality laws
  • Compile monthly and annual usage statistics for health services providers
  • Order physical therapy and charting supplies
  • Assist and maintain communications
  • Maintain all aspects of electronic practice management system, including set-up of system according to office needs.
  • Other duties as needed.

Required:

  • Bachelor’s degree, Health Education background a plus
  • Experience working with diverse student populations
  • Experience working in a busy office setting
  • Experience with Microsoft Outlook, Microsoft Office and the Internet
  • Ability to multi-task and work under pressure
  • Excellent written and verbal communication skills
  • Must maintain confidentiality of student records
  • Skilled at keeping files and work area organized
  • Accuracy and attention to detail

Preferred:

  • 3 years experience working in a clinic or doctor’s office
  • Experience with electronic practice management systems or EHRs
