Description:
The Information Technology Operations Administrator will be responsible for the management of departmental projects with the goal of delivering every project on time, within budget and within scope. Working closely with the Desktop Support, Enterprise Systems, Classroom AV, Network & Infrastructure and Web teams, the Information Technology Operations Administrator will also be responsible for making key design and implementation decisions such as project selection, resource management, task scheduling, managing communications with business units, change requests and guaranteeing the quality of delivery while guiding the technical and application teams on project best practices.
Salary range: $75K to $85K

Responsibilities:
- Consult with business unit leaders to determine goals, technical feasibility, timeframes, funding limitations, procedures for accomplishing administrative computing projects, staffing requirements, and allotment of resources
- Ensure that all projects are delivered on-time, within scope and within budget.
- Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques
- Measure and report on project performance using appropriate tools and techniques
- Perform risk management to minimize project risks
- Implement quality assurance methodologies covering test plans, change/patch management, and problem management.
- Establish technical standards to ensure the long-term, cost-effective management and support of the currently installed systems and other enterprise solutions
- Prepare upgrade project plans in collaboration with team members.
- Scout for and evaluate new technology and tools as opportunities for innovation.
- Creating and maintaining relationships with vendors on new offerings, upgrades, renewal and replacement, invoices, contracts, etc.
- Identify poor performing systems that need upgrades or improvement and schedules corrective action, when possible.
- Report on project, staff and departmental work status regularly to the CTO.
- Utilizing data from service desk system, help create reports
- Oversee the Information Technology Budget. Create reports to monitor, manage, and forecast the budget. Collaborate with Team COO on the budget and with the finance team. This will also require tracking invoices, processing invoice for payment from all I.T. services. Engage with vendors on upcoming renewals, negotiate rates, ensure all services are being used and ultimately obtaining favorable terms for Juilliard.
- Liaising with senior staff within IT and Legal on contracts.
- Manage any I.T. interns, volunteers, or work study staff and consult with Deputy CTO and CTO on their duties and responsibilities, including time sheet(s).
- Provide end-user technical support via phone, e-mail, remote desktop and in person as needed to function as a back-up technical resource for the team.
- Oversee and be responsible for I.T. inventory. Conducting quarterly and annual inventory. Keep track on accessories and parts and re-ordering when necessary. Also oversee decommissioning of equipment including electronic waste (e-waste). Creating reports on missing equipment with attempts to locate and renewal and replacement of I.T. assets.

Position Requirements:
- Educational Qualifications: Bachelor’s degree, preferably in Computer Science, Information Technology, Engineering, or a related field, or an equivalent combination of education, experience, and training.
- IT Services Experience: 5-7 years of experience in IT services, working within IT departments or business units to address and resolve technology-related issues.
- Higher Education Experience: Proven track record in the higher education or not-for-profit sector, with experience in systems such as ERP, email, network, and helpdesk services.
- Attention to Detail and Emotional Intelligence: Must be detail-oriented, demonstrating strong emotional intelligence and a sense of diplomacy in interactions with colleagues and stakeholders. Ability to work with a wide arrange of community members including non-IT staff.
- Process Documentation and Review: Document processes and procedures comprehensively, conduct annual reviews, and engage stakeholders to ensure continuous improvement and alignment with organizational goals.
- Budget Planning and Management: Develop, implement, and monitor the organization’s budget, ensuring alignment with strategic goals and financial objectives.
- Financial Reporting: Prepare and present regular financial reports, providing insights and recommendations to senior management for informed decision-making.
- Cost Control and Optimization: Identify opportunities for cost savings and efficiency improvements, ensuring effective allocation and utilization of resources.
- Lead and manage change initiatives: Develop and implement strategies to drive organizational change and ensure successful adoption.
- Stakeholder engagement: Collaborate with key stakeholders to understand their needs, address concerns, and gain buy-in for change initiatives.
- Communication: Create and deliver clear, concise, and compelling communications to support change efforts.
- Training and support: Design and deliver training programs to equip employees with the skills and knowledge needed to embrace change.
- Monitor and evaluate: Track progress of change initiatives, identify areas for improvement, and adjust strategies as needed.
