Overview

The National Arts Club, a not-for-profit 501c3 organization, seeks an experienced and organized Senior Accountant to join our team. The Club has approximately 1950 members and counts many of New York’s artistic and creative minds among its membership. The historic Clubhouse creates the quintessential New York backdrop for fine dining and, of course, the arts. Amenities include a beautiful wood paneled dining room and bar, art galleries, and a varied and dynamic events calendar featuring lectures, panel discussions, literary and art events, and more.

The Senior Accountant is responsible for assisting the Director of Finance with the overall management of the Club’s finances and the Treasury Department. The Senior Accountant assists in planning and managing the monthly/quarterly/annual close and related financial reporting and analysis; oversees the day-to-day accounting operations and assists with the Club’s annual operating budgeting process. The Senior Accountant also contributes to policy and procedure development and to enhancing the efficiency and effectiveness of all fiscal practices.

QUALIFICATIONS:

EDUCATION OR EQUIVALENT EXPERIENCE

• Bachelor’s degree in a field related to business, finance, accounting or related major.

• Experience in a private club, resort, hotel, or other membership organization preferred.

• Minimum of four (3) years related work experience.

• Experience with Club Essential Software and database management a plus.

• General understanding of the hospitality and food and beverage industry preferred.

ESSENTIAL JOB FUNCTIONS & TASKS:

• Manage the monthly, quarterly, and annual closing processes, ensuring that all transactions are reported timely and accurately; coordinate the closing processes with other members of the Treasury Department: Billing/AR/CR, AP/CD/Payroll and Accounting Intern.

• Prepare and/or review all required monthly and year-end journal entries in coordination with the Director of Finance; maintain and update all general ledger functions including review, update and correction of GL software financial statement and tax reports.

• Review and/or prepare monthly reconciliations of all bank accounts.

• Prepare monthly financial statements and related reports (i.e., “Treasury Reports”) and analyses for submission to Controller & Treasurer; prepare ad-hoc financial & other (i.e., Capital Projects) reports and analyses as necessary or as requested.

• Assist in the preparation and periodic updating of supporting schedules for selected GL accounts: other accounts receivable, exchange, prepaids, fixed asset additions, other current liabilities and selected income and expense accounts.

• Review monthly F&B Department inventory counts with F&B Manager and reconcile any discrepancies and record changes in GL; at least 2 times per year observe the monthly physical inventory counts of F&B goods.

• Assist the Director of Finance with the planning, coordination, and execution of the annual external audit of the Club’s financial statements (i.e., preparation of annual audit schedules and follow-up) and the preparation of the Club’s annual Forms 990 and 990-T including related Schedules.

• Assist Director of Finance in preparing and updating monthly/annual cash forecast schedules.

• Assist the Director of Finance with the Club’s annual operating and capital budgeting processes; monitor progress during development cycle to ensure accuracy, completeness, and timely completion.

• Review fiscal policies and procedures as requested by the Controller and recommend changes that will enhance the efficiency and effectiveness of fiscal practices.

• Manage and interact with Billing/AR/CR and AP/CD/Payroll Administrators; confer regularly with Director of Finance to plan, coordinate, and evaluate activities/projects; assign work and review work given to Accounting Intern; assist with difficult or unusual tasks; investigate and resolve problems.

• Supervise the work of the Accounting Intern to ensure that monthly, quarterly, and annual deadlines are met including the preparation of all related, required analyses, reports, and other statements.

• Assist the Director of Finance in developing and maintaining the calendar of statutory filings and planning for the timely completion of those filings: prepare and file, after review by the Director of Finance, monthly and quarterly tax payments related to sales and hotel occupancy taxes.

• Monitor all local and state license/permit/registration renewals: liquor, storage, eating place, HPD, etc.

• Assist the Director of Finance in performing research and planning functions related to the design and upgrading of accounting information systems. Work collaboratively with all Treasury staff to enhance practices and procedures.

• Ability to establish and maintain effective relationships with supervisory/administrative staff, employees, members, and guests and attends management meetings when requested.

• Handles employee/member problems and complaints effectively.

• Displays leadership in the department by exemplifying excellent customer service with members and creating a positive atmosphere for employee relations.

• Work with Members to resolve any outstanding issue and if unable to resolve personally, introduce them to a staff member that can assist them.

SUPPORTIVE JOB FUNCTIONS:

In addition to performance of the essential functions, this position may be required to perform a combination of supportive functions as part of the management team with the percentage of time performing each function to be solely determined by the Director of Finance and/or General Manager based upon the requirements of The Club.

• Participation in the Manager/Administrator on Duty program as scheduled.

• Other job duties as assigned by supervisor including office coverage and/or support as needed.
