Translatina Network Job Description 

Job Title: Associate Director of Grants Management     Unit/Department: Administrative 

Reports to: CEO                                                                 Status: Contractual

Function/Position Summary: 

Under the supervision of the CEO, the role of the Associate Director of Grants Management is to assist with grants-related financial recordkeeping and organization, to schedule meetings with potential donors, government agencies, and foundations, and to provide other grants-related administrative support directly to the CEO as needed. The Associate Director of Grants Management will reconcile transactions and financial statements day-to-day, correspond with the organizational accountant, and manage other grants-related financial operations, such as project budgets. The Associate Director of Grants Management will be familiar with grants management systems such as Grants Gateway and Passport NYC, and they will be responsible for ensuring that all grants-related documentation, such as reports and deliverable vouchers, are submitted in a timely manner.   

Job Functions & Required Qualifications: 

  • Familiarity with HIV/AIDS services and community resources in New York City
  • Good oral and written bilingual communication skills
  • Comfort with the diversity (ethnicity, sexual orientation, socioeconomic status, etc.) of our multicultural community
  • Ability to help the CEO with any funding opportunities at short notice
  • Possess essential knowledge of a grant application process
  • Develop effective grant proposals and grant reports based on the organizational requirement
  • Ability to balance financial information and grant agreements and keep the agency updated
  • Interface and communicate with individuals at all levels of the organization
  • Aid in evaluation of programs
  • Analyze data for local, foundation, and government grants 
  • Develop, construct, and amend budgets for existing contracts as well as RFP’s 
  • Develop tracking sheets for contract expenditures
  • Assist with administrative duties, such as but not limited to; filing, electronic filing, email and/or phone correspondence 
  • Generate reports and vouchers for contract reimbursement 
  • Familiarity with creating scopes of works, work plans, and budget
  • Other duties as assigned

Preferred Qualifications: 

  • Minimum of a Bachelor’s Degree in an associated field plus 5-years’ experience or a Master’s Degree in an associate field.
  • Prior experience in data collection, tracking and report writing
  • Proficient in Microsoft Word, Excel, and PowerPoint experience
  • Experienced in handling highly confidential matters with discretion 
  • Ability to understand the project requirements, the organization, departments and its functions  
  • Self-driven, proactive, ability to work effectively and independently 
  • Responsible, organized and provides attention to detail
  • Strong administrative and coordination skills.
