Job Summary:
The Manager is responsible for overall supervision of the Print Shop and Mailroom departments, including but not limited to, training, mentoring, and evaluating departmental staff.
Responsibilities include:
Print Shop-
- Full working knowledge of all machines in the shop
- Maintaining an inventory of supplies and parts for all machines to insure non-interrupted services.
- Oversee out of the box print requests i.e. large format printing, banners, lawn signs, bookbinding, etc.
- Ensure all service contracts are current and paid.
- Ensure staff works with M&C (and Workfront) to ensure correct color proofing and all deadlines are met.
- Maintain accurate financial records and submit monthly chargeback reports to ensure proper accounting of expenses and payments for work completed.
- Motivate and train staff cross functionally and create a cohesive team approach to work to maximize work efficiency.
Mailroom-
- Keep up to date on Postal Rates and Regulations and maintain adequate postage in all postage meters to ensure all mail is metered and mailed daily. Review outgoing mail and packages to determine best and most economical way to ship.
- Maintaining an inventory of supplies and parts for all machines to insure non-interrupted services.
- Manage electronic delivery of all mail.
- Manage organization’s Fedex account
- Manage daily delivery (pick up and outgoing) mail vendor.
- Manage daily messenger service for the organization overseeing the handling of internal requests. Maintain all necessary reports and logs to reconcile monthly invoices.
- Oversee all event related packages both incoming and outgoing.
- Ensure all service contracts are current and paid.
- Maintain accurate financial records and submit monthly chargeback reports to ensure proper accounting of expenses and payments.
- Manage the organizations Archive account and off premise document storage.
- Manage Organization’s PPE inventory to remain OSHA and NYC compliant
Competencies:
- Strong computer skills, including Microsoft Office and Adobe Suites
- Good communication and people skills. Ability to effectively manage people
- Highly organized and detail oriented
- Knowledge and application of printing concepts
- Able to operate a wide variety of business equipment
- Firm understanding of the digital printing process and best practices.
- Experience working with digital files
- Good understanding of copier functions, bindery processes, and related equipment
