Reports to:      Chief Financial Officer

 The Director of Facilities manages the day-to-day operations, maintenance, and capital planning for 130 East 59th Street. This 17-story, 249,000 square foot office building includes the headquarters of UJA-Federation of New York, offices of numerous commercial tenants, and retail space owned by a third party. The Director serves as building manager for the entire building and as facilities manager for UJA, which occupies approximately two-thirds of the building. The Director reports to UJA’s CFO and supervises the building engineers, maintenance staff, and porters. The Director interacts regularly with the Security/Fire Safety team, Purchasing, Accounting, HR, IT, Legal, Conference Center, and executives and office managers of commercial tenants.

Job Responsibilities

 1. Facilities/Building Management & Operations

Within the UJA space, the Director is responsible for planning, space allocation (in coordination with Human Resources), relocations, and general maintenance. In the commercial office space, the Director reviews drafts of tenant leases and work letter agreements with CFO and UJA Legal department; manages permitting and construction of tenant spaces where required; ensures compatibility of tenant installations with the building’s HVAC, electrical, fire suppression, and alarm systems; coordinates tenant move-ins and move-outs; and serves as the principal point of contact for tenants. He/she is responsible for obtaining and renewing all permits required in connection with operation of the building under applicable building, fire, health, and energy codes. The Director has hands-on responsibility for energy management to ensure compliance with applicable codes and minimize energy cost.  

2. Contract Administration  

The Director negotiates and administers service contracts for:  janitorial services; waste and recycling removal; exterminating; maintenance of elevators, HVAC & BMS systems, cooling towers, steam system, Class ‘E’ and central station fire alarm systems, and security camera and alarm systems; and other vendor services.  He/she prepares and monitors the building operating budget and codes invoices to ensure proper accounting of expenses. He/she evaluates and establishes plans for capital improvements, major repairs, and equipment replacements, selects and manages consultants and contractors to perform the work and negotiates related contracts, and reviews and approves related invoices. The Director interfaces with the Legal, Accounting, and Human Resources departments to ensure that UJA protocols and policies are implemented.  

3. General Maintenance

The Director oversees building engineering, porter, and maintenance staffs and coordinates night cleaning services. Staff reporting to the Director are responsible for operation and maintenance of air conditioning, electrical, heating, and plumbing systems, lamp replacement, custodial services, locksmith, painting, metal refinishing, furniture repairs and general cosmetic repairs. He/she coordinates interdepartmental moves and office / workstation furniture modifications for UJA as well as capital projects for tenants that are required to be performed by the landlord pursuant to lease terms. The Director provides support, expertise, and coordination to other UJA departments as needed for projects or events.     

Prior Experience/Competencies

  • 10 + years of related building experience, 5 + years of management experience.
  • Background in coordinating project teams of architects, engineers, contractors, vendors, and construction trades. 
  • Familiarity with disaster recovery plans, EAP Fire Life Safety plans, New York City energy efficiency codes, LEED, NYC DOB and FDNY regulations, and smart building technology.
  • BS in Architecture or Engineering degree required. Architecture or Engineering license preferred.
  • Thorough knowledge of DOB Now, BMS systems, and Microsoft Office 365 (including Excel, Word, and Outlook).
  • Good written and oral communication skills.
  • Strong analytical skills.
  • Ability to interact positively with UJA staff and building tenants.
