Overview
As an Assistant Meeting Planner, you will work collaboratively with the Meetings & Travel Team to plan and execute meetings and events that support worker organizing at the direction of the International Union President and Secretary-Treasurer. You will join a dedicated and inspiring team of administrative professionals that proudly advances UNITE HERE’s goals on behalf of hospitality workers in the United States and Canada.
As a Meetings Team Assistant Planner, you will:
- Field requests from UNITE HERE leadership for meetings and events.
- Work with the Meetings & Travel team to create requests for proposals, review contracts, and ensure general best practices of meeting and event planning.
- Assist with worker actions and other event logistics.
- Draft communications about events and travel.
- Oversee invoice processing for meeting and travel related expenditures, maintain a budget, and ensure fiscal responsibility, including actively monitoring and recommending opportunities for cost-savings.
- Learn, comply with, and provide leadership on all internal UNITE HERE policies and external regulations.
- Work with UNITE HERE Customer Organizing team to maintain network of customers and meeting planners through the Fair Hotel campaign (https://www.fairhotel.org/).
- Travel occasionally.
- Perform other duties as determined by Meetings Team Lead and UNITE HERE leadership.
Qualifications:
- 2-3 years of experience in meetings, travel, and event planning
- Proven proficiency in the following areas:Microsoft applications (managing spreadsheets, creating charts, and using advanced formulas)
- C-vent and Egencia preferred
- Excellent analytical skills to manage large amounts of data and reports
- Team collaboration skills
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Excellent verbal and written communication skills
