Overview

Position Summary

Coordinates the oversight and management of key volunteer leadership programs, including committee meetings, communications, and events. Serves as a key liaison to the volunteer leaders of these programs and partners with a senior gift officers assigned to these groups. 

Job Responsibilities

  • Provides administrative oversight and management of volunteer leadership programs.
  • Organizes committee meetings, schedules, crafts meeting agendas, drafts presentations and speaking points, organizes meeting materials, and records and distributes minutes. Organizes and attends planning meetings with volunteer leaders and senior staff.
  • Organizes and staffs events and activities, including panel discussions with faculty, laboratory tours, symposia, roundtables, new member welcome events; collaborates with colleagues in the planning and execution of these events and activities.
  • Coordinates communications and publications, including newsletters, directories, brochures, announcements, website updates, impact reports and special publications; collaborates with colleagues on the execution of communications and recognition.
  • Prepares and maintains relevant archival and governance documents, including mission statements, job descriptions, organizational charts, by-laws, board nomination actions, historical membership info, etc.
  • Manages demo/bio, term, communication, and event-related information for members of these groups in CRM system. 

Education

  • Bachelor’s Degree

Experience

  • 5+ years of development experience
  • Demonstrated success in volunteer management within a complex organization.
  • Experience at an academic medical center strongly preferred.

Knowledge, Skills and Abilities

  • Highly responsive and customer-service oriented.
  • Flexibility and skill in working with physicians, colleagues, and donors in a complex organization .
  • Excellent written and oral communication skills.
  • Creative thinker and problem solver; ability to think critically.
  • Strong Microsoft Office skills and the ability to work with databases.

Working Conditions/Physical Demands

Some travel within NYC. Some evening and weekend work.Must be prepared to respond to urgent patient liaison requests during week-ends, after hours, and off days.
