While We Are Still Here (WWSH) is a Harlem-based, heritage preservation organization, founded to honor the history of this unique, influential community.

Position

Summary: The Project Coordinator contributes to the development, implementation, and management of While We Are Still Here’s presentations, including, but not limited to, performing arts performances, visual arts exhibitions, readings, lectures, and conferences. The project coordinator reports to the executive director.

ESSENTIAL JOB FUNCTIONS

  • Works closely with the executive director to develop and produce creative programs and events, such as dedications, concerts, readings, etc.
  • Creates and maintains timelines with the executive director
  • Tracks progress of projects
  • Collects and manages artist photos, bios, etc., and liaises with graphic designer and social media manager
  • Researches potential projects and artists
  • Drafts, compiles, and proofreads certain correspondences, presentations, program booklets, board reports, project descriptions, project reports, and evaluations, etc.
  • Maintains program calendar and program descriptions
  • Liaises with artists and artist management, speakers, authors, etc. Acquires stage plots, tech riders as necessary
  • Attends programming meetings, develops notes and any follow up necessary   
  • Coordinates travel and accommodation needs    
  • Creates and maintains a contact list database
  • Develops agreements, offers, and coordinates project budgets
  • Develops runs of shows, production schedules
  • Other tasks as assigned   
  • Some nights or weekends are required
  • Researches potential projects and artists

Experience:

  • 4 years of related experience with event programming in arts organizations or university

Required Competencies

  • Ability to maintain positive, cooperative, professional, and collaborative interactions
  • Knowledgeable and interest in African American History and respectful of it 
  • Excellent oral and written communication skills.  
  • Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) Adobe,virtual meeting software (Zoom), and other utility software
  • Excellent presentation and project management skills
  • Ability to be proactivein anticipating and solving problems
  • Ability to innovate and create new processes or systems that create efficiencies
  • Exceptional planning, organization, and follow-up skills with extreme attention to detail  
  • Ability to prioritize and manage multiple projects    
  • Strong judgmentand discretion in dealing with confidential information
  • Ability to work independently on assignments

Compensation:

$65K per annum; health benefits after three months; three weeks vacation; twelve sick days.
