Overview

Writopia Lab is an award-winning 501(C)(3) nonprofit that runs creative writing workshops for kids ages 4 to 18. Since its formation in New York City in 2007, Writopia Lab has grown into a nationwide community of young writers. Our mission is to foster joy, literacy, and critical thinking in children and teens from all backgrounds through creative writing. We create a safe and engaging space for writers, and we aim to provide the creative inspiration, individual attention, and intellectual environment that may not be available to them at school. 

The Registration Manager is responsible for overseeing and guiding the daily activities, long-term goals, and problem-solving efforts of our registration team, which is critical to the sustainability and success of our organization as well as the experience of the families we serve. This role has a broad scope and is responsible for leading the registration team through collaboration to effectively handle aspects of client communication, student enrollment, payment, and basic technical issues. It requires excellent organizational skills, comfort in a public facing role, the ability to follow up consistently with internal teams and customers, and an unflappable and pleasant attitude. 

This is a full-time exempt position reporting to the Director of Program Operations. This is a hybrid position: four days per week in-person at our Upper West Side Location and one day per week remote.

Impact

Writopia Lab works with thousands of young writers every year—in our Labs, in public and private schools, in homeless shelters, and in partnership with community based organizations around the country, as well as online. The Registration Manager has a major impact not just on how we do our work, but on how our kids and teens experience the joy, literacy, and critical thinking that are core to our mission. The Registration Team interacts with full- and part-time staff, the families we serve, and our partner organizations. The team provides information about our programs to new families, helps families choose workshops for their kids, connects with instructors about rosters and schedules, processes payments, and maintains the database of enrollments.

Key Responsibilities

  • Supervise the Registration Team (four to six people) with calmness and kindness
  • Manage the registration process with a comprehensive understanding of the organization’s programs
  • Maintain communications and data feed with Accounting and Financial Aid teams
  • Ensure excellent customer service in communicating with clients via email and phone regarding scheduling, payment, and other customer service-related needs, and actively participate in team Inboxes to develop and model best practices for the rest of the team
  • Ensure data hygiene and support the growth of the organization’s data culture and best practices
  • Oversee, improve and refine organizational systems and processes, finding efficiencies where needed
  • Spearhead development of documentation and create registration procedures manual

Qualifications and Skills

  • Bachelor’s Degree
  • Two years experience as a supervisor or manager, preferably at a non-profit organization
  • Five years experience in administration and/or operations
  • Demonstrated ability to lead teams with positive results
  • Ability to build relationships effectively and professionally
  • Strong time management and project management skills
  • Strong written professional English skills
  • Comfort with technology (especially G-Suite) and willingness to learn new tools and platforms
  • Strong spreadsheet skills and comfort with handling data
  • Ability to think on your feet without losing site of either the forest or the trees
  • Demonstrated success developing and improving systems
  • Must be fully vaccinated against COVID-19, including at least one booster

Compensation

  • Annual Salary $60,000 to $70,000
